Privacy Policy
The Coxswain · effective 24 August 2026 · version 1.0
1 · The short version
We collect the minimum a subscription service needs: your email address, what you choose to follow, and — if you subscribe — billing records held by Stripe. We do not run advertising, we do not sell or share your data for marketing, and we do not profile you beyond ranking your own feed by your own follows.
2 · What we collect, and why
| Data | Why | Lawful basis |
|---|---|---|
| Email address | Sign-in (we email you a link or code instead of storing a password); service emails such as sign-in mail, renewal and price-change notices | Contract |
| Follows and preferences (clubs, competitions, settings) | Personalising your feed and calendar — the product's central feature | Contract |
| Subscription and payment records | Billing, receipts, tax and accounting. Card details are collected and held by Stripe; they never touch our servers | Contract; legal obligation |
| Problem reports you send | Fixing what you report, and telling you when it is fixed | Legitimate interest |
| Basic technical logs (IP address, requests, errors) | Security, abuse prevention and keeping the service running | Legitimate interest |
Names appearing in race results — athletes, coxes, crews — are published sports records compiled from public sources, processed in our legitimate interest in maintaining a sporting archive. If a result concerns you and you believe it is wrong, use "Report a problem" or email us.
3 · Cookies and local storage
We use one essential cookie: your session, so you stay signed in. It is httpOnly and is not used to track you across other sites. We set no advertising or third-party analytics cookies. The app stores preferences (such as your follows cache) on your device to work quickly and offline.
4 · Who processes data for us
| Provider | Role | Where |
|---|---|---|
| Railway | Hosting the application and database | EU/US data centres |
| Stripe | Payments, subscriptions, billing records | Global; UK/EU safeguards |
| Resend | Sending sign-in and service email | EU (Ireland) |
| Porkbun | Domain and mail forwarding | US |
Where a provider processes data outside the UK, transfers rely on UK adequacy decisions or the provider's standard contractual clauses. We do not pass your data to anyone else except where the law requires it.
5 · How long we keep things
Your account data lives as long as your account does. Delete your account in Settings and your profile, follows and preferences are removed; billing records are kept for six years because tax law requires it; server logs rotate on a short cycle. Problem reports are kept so the fix history stays intelligible, detached from your deleted account.
6 · Your rights
Under UK GDPR you can ask for a copy of your data, correction, deletion, restriction, or a portable export, and you can object to processing based on legitimate interest. Email community@thecoxswain.app — we answer within a month. If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk, though we would rather you told us first.
7 · Changes
If this policy changes materially we will email account holders before the change takes effect. The current version always lives at thecoxswain.app/privacy.
